FAQ

What is the process for booking a date and signing the contract? expand_more
Booking your chosen date is a two-step process. The first step is to sign a booking agreement, which secures the date and remains valid until 31 January of the year in which the wedding reception is planned. During this period, the formalities relating to the signing of the actual (wedding) contract must be completed. All contractual documentation is processed securely in electronic form via an online contract-signing platform, which means there is no need to visit the venue’s office in person.
What is the payment schedule for organising a wedding? expand_more
Payments are divided into four stages, which makes it easy to plan your budget: Deposit I (Reservation): to be paid by bank transfer to an mBank account within 3 days of signing the reservation agreement. Deposit II (Main): Top-up of payments to 40% (for the 2027 season) of the estimated cost, payable within 3 days of signing the main contract. Deposit III (Pre-Event): An additional payment up to 50% of the final cost estimate, payable up to 14 days before the planned wedding reception date. Final Settlement: The remaining balance, payable on the day of the reception or during breakfast the following day (in cash or by bank transfer, with confirmation provided by 10:00).
Could the price per person (‘plate’) change after the contract has been signed? expand_more
Given the long-term nature of wedding contracts, the venue reserves the right to index-link the final fee based on the cumulative monthly Consumer Price Index published by the Central Statistical Office (GUS). An initial adjustment is incorporated into the cost estimate at the time the contract is signed, and the final adjustment is made 30 days before the wedding.
What are the minimum guest numbers, and what do the menu prices depend on? expand_more
Guest limits for standard receptions are closely linked to the season and the day of the week. Saturdays and public holidays: 120 guests; Fridays and Sundays: 80 guests; Mondays to Thursdays: 60 guests. If you wish to organise a smaller reception, Tuscan-style weddings with lower guest limits are an alternative.
Is it possible to use an external catering service? expand_more
No. The kitchen at Willa Słoneczna relies exclusively on its own catering facilities, using fresh, locally sourced produce. The venue does not permit external catering companies to provide services for events.
How long does a wedding reception last, and can it be extended? expand_more
A wedding reception with the standard package lasts until 5.00. It is not possible to extend it.
Can the menu be modified? expand_more
Yes. Any changes to the menu or substitutions for hot dishes are handled by our kitchen team. However, these do require prior arrangement. If your request goes significantly beyond the scope of our standard service, please enquire about this when signing the booking contract.
How does the venue approach the preparation of meals for people on special diets? expand_more
The venue’s kitchen caters for all special dietary requirements (vegetarian, vegan, gluten-free, etc.). A 20% surcharge is added to the base price of the selected menu. Examples of items on the vegan menu
Can we take the leftover food home with us once the party is over? expand_more
Yes. Any leftover food (from the hot food station, cold buffet and dessert table) is packed into plastic containers by the venue’s staff as and when it is left over. The prepared containers must be collected from the venue by 10.00 the following day – after this time, any uncollected food will be disposed of at the customer’s expense.
Can we order a cake and some pastries from an outside bakery? expand_more
For health and hygiene reasons, and in accordance with the requirements of the State Sanitary Inspectorate, Willa Słoneczna works exclusively with its in-house patisserie, ‘Słoneczna deli + bakery’. Bringing in cakes, pastries and mini-baked goods from other sources is strictly prohibited.
What sort of sweets and cakes are available? expand_more
We offer dessert table packages featuring a wide range of desserts and traditional cakes. Our range of wedding cakes is dominated by modern designs, including the striking, elongated ‘Long Cake’ (up to 140 cm in length). Alternatively, tiered cakes are available. You can opt for a Tiramisu Tower or Pistachio Tower dessert tower instead of a traditional cake.
At what time is the cake served, and are sparklers allowed? expand_more
The cake presentation is normally scheduled for after sunset or at a specific time during the programme (e.g. at 9.00 pm). The use of sparklers or spark fountains provided by you, accompanied by musical accompaniment, is permitted during the cake presentation exclusively on the terrace, provided that prior notification is given and safety procedures are observed.
How many beds does the accommodation have, and how should the guests be accommodated? expand_more
The accommodation comprises 15 rooms, which can accommodate 44 guests in the standard configuration, whilst with the maximum use of extra beds (sofa beds) – up to 76 people. We have provided 3 cots for our youngest guests. When planning guest accommodation, it is worth bearing in mind that the rooms in Wing B (B14, B15, B16) are the best soundproofed, making them the ideal choice for families with young children and senior guests.
What are the hotel’s check-in and check-out times? Is it possible to get ready in the room beforehand? expand_more
The hotel stay begins at 2.00 pm on the wedding day and ends at 12.30 pm the following day. The suite for the bride and groom (room A13), including breakfast and a safe, is included in the basic reception price. As weddings take place one after the other during the summer season, the possibility of making rooms available earlier for preparations (e.g. from 12.00) can only be confirmed at the earliest one month before the ceremony.
How are breakfasts organised for overnight guests and day visitors? expand_more
Breakfast is served between 8.00 and 10.00. For guests staying overnight, breakfast is included in the room rate. Non-residents may purchase breakfast (this must be booked 14 days in advance).
Do you allow pets? expand_more
Yes. Pets (e.g. dogs) are welcome in the lobby and on the grounds surrounding the hotel free of charge. There is a one-off charge of 100 PLN for a dog staying in a hotel room, as this requires specialised anti-allergy cleaning.
Do my subcontractors have to fulfil any formalities? expand_more
Yes. We are committed to ensuring the safety of all guests and the smooth running of the preparations, which is why we require every subcontractor to hold valid third-party liability insurance covering the scope of their business activities. Please provide the details or a copy of the policy to the Venue Manager no later than 7 days before the wedding. As the bride and groom, you are jointly and severally liable for the actions of the companies you engage.
What time can the DJ or band start setting up their equipment? expand_more
The installation of sound and lighting equipment in the hall may begin no earlier than 11.00 on the day of the wedding.
Where can subcontractors unpack their equipment and decorations? expand_more
All unloading and installation work must take place exclusively via the main blue door. For aesthetic and safety reasons, vehicles are strictly prohibited from driving onto the lawns or the building’s terrace.
Can a DJ play on an outdoor terrace? expand_more
Yes, but there is a time restriction. The DJ booth on the terrace and the outdoor music can continue until 10.00 pm at the latest. This is a strict requirement relating to the night-time quiet hours. After 10.00 pm, the party moves indoors.
Is it allowed to scatter confetti or fresh flower petals in the garden? expand_more
There is a strict ban on scattering real or artificial petals and on setting off confetti cannons in our garden and around the premises. Should this ban be breached, the contract provides for an additional charge for specialist cleaning of the green areas.
What alternatives to confetti would you recommend for an outdoor event? expand_more
Instead of confetti, we highly recommend options that look stunning in photos and are completely free (they don’t incur any clean-up costs). These include soap bubbles and coloured smoke flares, which look absolutely amazing in the garden!
Is it permitted to use fireworks inside the hall and in the atrium? expand_more
The use of any pyrotechnics is strictly prohibited inside the venue, particularly in the atrium. This includes, amongst other things, tall spark fountains, stage sparklers and heavy smoke without the appropriate certification. The safety of the building and our guests is our top priority.
Does the venue provide a sound system for a DJ or a band? expand_more
No. The venue does not provide a sound system for the dance floor or dining area. Full responsibility for the sound and lighting systems lies with the DJ or band you have hired. The venue provides a 3-phase, 16-amp power supply and holds a valid Stoart licence. Unloading of technical equipment may commence from 11:00 via the main (blue) entrance to the hall.
What are the entry and parking rules for performers (musicians)? expand_more
Delivery vehicles and service vehicles are strictly prohibited from parking on the lawns in front of the atrium and on the cobbled terrace. Staining the paving stones with engine oil or damaging the lawn will result in a contractual penalty of between 500 PLN and 1,000 PLN (damage to the grass will be assessed separately).
Can we bring our own alcohol? How does the DIY bar work? expand_more
Yes. Bringing your own alcohol involves paying a flat-rate corkage fee (price as per the offer). This covers chilling, ice and a full glassware service. During the off-season (from 1 November to 15/30 April), a promotion is in place that completely waives the corkage fee. In the case of a DIY bar (e.g. self-service drinks), drinks are served in their original bottles – all bar equipment, such as dispensers or shakers, must be provided by the customer.
Is it possible to organise fireworks displays or sparklers on the premises? expand_more
Pyrotechnic displays (fire shows, heavy smoke, sparklers) may only be held in the open garden area before 10.00 pm, subject to prior agreement with the venue. Professional fireworks displays must be carried out by licensed companies – the venue has an exclusive contract with Fuego Mateusz Pielesz. The release of paper lanterns is prohibited.
Is there a multimedia projector available on site? expand_more
Yes, we provide a multimedia projector with a screen. If you wish to use the projector, please let us know at least 14 days before the wedding; however, the bride and groom are responsible for providing a laptop.
